Who we are
DocPresenter ("we", "us") provides a service that converts presentation files into narrated video. This policy covers the marketing website at docpresenter.com and the managed cloud service. It does not cover self-hosted deployments, where we never receive your data at all — in that configuration you are the controller and we are not a processor.
What we collect
- Contact details you give us. If you submit the demo request form, we store your email address and the page you submitted it from.
- Usage analytics. Aggregate, cookie-free page metrics so we can see which pages are read. We do not build cross-site profiles.
- Service content, managed cloud only. Decks you upload, scripts you edit, presenter footage you register, and the videos we render.
- Voice clone records. If you create a cloned voice, we store your email, the voice identifier issued by our speech provider, the consent confirmation you gave, and a one-way hash of your IP address. We keep this so we can act on a report that a voice was cloned without consent. The reference audio is held by the speech provider, not by us, and is used only to build that voice.
- Operational logs. Timestamps, error traces and job identifiers needed to debug a failed render.
We do not collect payment card numbers. Payments are handled by our payment provider, which receives card data directly.
How we use it
- To respond to your demo request and run pilot onboarding.
- To render the videos you ask for, and to retry a failed job.
- To detect abuse of the rendering capacity, which has a real marginal cost.
- To improve output quality, using aggregated data — never your identifiable content.
We do not sell personal data, and we do not use your uploaded content to train models for other customers.
Legal basis (GDPR)
- Contract — to deliver the rendering service you requested.
- Legitimate interests — security, abuse prevention and service debugging.
- Consent — marketing email, and any processing of biometric data inherent in presenter footage. Consent can be withdrawn at any time.
Presenter footage used to drive lip-sync may constitute biometric data under Article 4(14). We process it only on your explicit consent, recorded at the point you register the presenter.
Retention
- Demo requests: until you unsubscribe, or 24 months of inactivity.
- Rendered videos: 90 days in managed cloud, then deleted unless you download or extend.
- Source decks and presenter footage: deleted within 30 days of account closure, or immediately on request.
- Voice clone records: kept while the voice exists. Deleting a voice removes both our record and the voice held by the speech provider.
- Operational logs: 30 days.
Your rights
You may request access, correction, deletion, portability or restriction of your personal data, and you may object to processing based on legitimate interests. Email [email protected] and we will respond within 30 days. You may also complain to your local supervisory authority.
Deleting a presenter registration stops all future use of that footage. Videos already rendered from it are deleted with it unless you ask us to keep them separately.
Processors and transfers
We use a small number of subprocessors for hosting, email delivery, error tracking and payments. Each is bound by a data processing agreement. Where data leaves the EEA, transfers rely on Standard Contractual Clauses.
On self-hosted deployments there are no subprocessors in the rendering path at all, because the pipeline runs on your infrastructure.
Children
The service is not directed at children. You may not register the likeness or voice of a minor under any circumstance — see our Terms of service.
